Job Description

GENERAL DESCRIPTION:
The Events Coordinator will plan and execute church wide events and staff functions throughout the year as well as support special events within different ministries.  A pre-employment drug screening is required for all candidates offered employment.

REPORTS TO:
Office Manager

TEAM MEMBERSHIP:
Administrative Team

PRIMARY JOB FUNCTIONS INCLUDE (but not limited to):

Events:

• Work with team on format/timing of the event
• Order Food
• Order Supplies
• Collect necessary insurance information from vendors
• Coordinate volunteers
• Input information on ESpace (facilities software)
• Coordinate information with maintenance and tech
• Execute event
• Clean up from event
• Direct team in post event recap
• Maintain event closet – restocking as needed
• Submit invoices to Accounting – work within budget

Assisting Ministries with Events (as needed):

• Work with ministry to coordinate information on calendar
• Give guidance in ordering food
• Direct ministry where to order supplies
• Assist in coordinating information with maintenance and tech
• Assist in recruiting volunteers

Outside Rentals

• Work with Operations Manager to verify eligibility
• Collect dates and requirements for rental
• Obtain, execute and file contract
• Submit information into facilities software
• Obtain required insurance information
• Collaborate with facilities, IT and Production for event
• Be present at event
• Finalize event, submit final invoice, and collect payment

QUALIFICATIONS REQUIRED:

• Must be organized, have a strong attention to detail and work within a deadline
• Must be able to work well with people
• Must have good communications skills
• Must be able to problem solve
• Previous event planning a plus

PERSONAL REQUIREMENTS:
Must be outgoing and personable and comfortable working with multiple individuals; is a self-starter and requires minimal supervision.  Excellent communication skills; is able to multi-task in a fast-paced environment.  Flexibility and ability to meet deadlines is a must.
