Role Overview The Executive Operation Assistant, is responsible for supporting C-level Executives, including the CEO and CFO. This is no ordinary job. You will be experienced in handling a wide range of Executive support and related tasks, but you will also be working in a highly visible capacity with expansive career opportunity. This is a stepping stone. You will perform the role, and learn the business, with the goal of moving into an operating role within 36 months. - Optimize multiple executives work style, preferences and pace to maximize efficiency and effectiveness. Ability to understand and manage the priorities of the day and handle the conflicts with grace
- Be part of the team. Attend and prepare for meetings. Circulate the actionable items from these meetings and ensure that the to-dos are followed up on
- Possess keen intuition and the ability to anticipate issues and needs before they arise, which earns you the respect and confidence of those you support and partner with
- High level of involvement and visibility to strategic projects. Working on/assisting with business planning efforts, rhythm of business work, account and business reviews, and many more high impact initiatives across the company
- Organizing/coordinating all Board Meetings, Customer Meetings, Investor Meetings, Leadership Meetings and PR/Media efforts
- Able to interact with staff at all levels, in a fast-paced environment, sometimes under pressure, remaining flexible, positive, proactive, resourceful and efficient
- Take initiative to add value in areas of the business that you are interested in and passionate about
- Leading the event planning process for high-level meetings and offsites, including those involving the CEO, CFO, Planning and Strategy teams, and other key stakeholders
- Work closely with the Strategy and Planning department, providing support and assistance on various projects
- Collaborate often with the finance team to facilitate contract procurement
- Excellent calendar management skills will be essential to efficiently coordinate schedules and ensure seamless operations
What we are looking for… - Bachelor's Degree in Business or comparable field preferred
- 4 - 5 years of professional experience including supporting strategic initiatives, business planning efforts, and coordinating Board, Customer and Investor meetings in a fast paced, dynamic environment
- Ability to travel up to 50% of the time
- The ideal candidate will be technically savvy and have strong proficiency with Outlook and MS Office Suite
- Can operate independently with limited or no supervision; flexible and adaptable at all times
- Acute attention to accuracy, detailed and analytical in all aspects of responsibilities
- Exceptional professionalism, communication and interpersonal skills; well-honed influencing and negotiating skills
- Strong ability to work across multiple time zones across the US and international
- Customer-centric with strong client service orientation
- Solid business acumen; creative and analytical mindset; able to comprehend near term and long term objectives
- Available and accessible to the CEO, CFO, and VP of Strategy and Planning during established office hours, and via phone and email beyond normal business hours
- Posses an entrepreneurial mindset and can collaborate and anticipate needs
Hiring Range $99500-$113700 Annual Actual compensation packages within that range are based on a wide array of factors unique to each candidate, including but not limited to skill set, years and depth of experience, certifications, and specific location.
